This guide walks through the day-to-day workflow module by module — from registering a patient to releasing a signed report, plus the specialized and commercial modules. Modules marked "Add-on" are optional and can be enabled on any plan.

1.Patient registration & file management

Register patients once and reuse the file for every visit. Capture demographics, contact details, national ID, blood type, allergies, chronic conditions and medications.

  • Use the global search (Ctrl + K) to find a patient by name, phone or file number.
  • Open Patient 360 to see demographics, clinical risk, result trends, billing exposure and a full clinical timeline in one workspace.
  • Archive duplicate or inactive files instead of deleting — history is preserved.

2.Creating & managing orders

Build an order from your test catalog: pick individual tests or panels, set priority (routine, urgent, STAT), and assign the referring doctor. Pricing and any discounts are applied automatically.

  • Edit Orders lets you add or cancel tests before results are entered.
  • Unmapped tests are surfaced so nothing is ordered that the lab cannot process.

3.Sample receipt & chain of custody

Receive, label and track every sample. Each sample gets a barcode and a full chain-of-custody trail from collection to disposal.

  • Print barcode labels (single or batch) for tubes and containers.
  • Reject or recollect samples with a reason that is recorded for audit.

4.Result entry, calculators & units

Enter numeric, qualitative, titer, calculated and composite results. Built-in calculators and unit conversion reduce manual errors, and reference ranges are applied per test, age and sex.

  • Abnormal and critical values are flagged automatically against the configured ranges.
  • Previous results are shown for trend context during entry.

5.Verification, flags & approval

Results move through a controlled review: technician entry → verification → release. Critical values must be acknowledged before autoverification, and blocked results require a documented override reason.

  • Configuration sanity guards catch inverted ranges and impossible thresholds.
  • Amending a verified result revokes stale report links so an old QR can no longer verify.

6.Generating & signing reports

Produce branded, multilingual PDF reports with your logo, signatures, reference ranges, trends and critical flags. Print directly or publish to the patient portal.

  • The report template editor controls layout, colors, watermark, language and disclaimers.
  • Reports are version-controlled; every amendment is tracked.

7.Quality Control (QC)

Run daily QC with Westgard rules. Out-of-control runs raise violations and can gate result release until resolved, with CAPA and competency tracking for accreditation.

  • EQA / proficiency-testing records keep external-quality evidence in one place.
  • Built to support ISO 15189 and CAP-style audits.

8.Microbiology & AST (Add-on)

Manage cultures from specimen to antibiogram. Record organisms, susceptibilities (S/I/R) and organism-antibiotic matrices, with input validation to keep results consistent.

9.Blood Bank (Add-on)

Full donor-to-transfusion traceability: donation, grouping, crossmatch, component inventory, expiry control and allocation safety, with fail-closed checks that prevent unsafe issue.

10.Device integration & worklists (Add-on)

Connect analyzers over HL7 v2.5, ASTM or raw TCP/IP. Push worklists to instruments and pull results back automatically, with device-health visibility.

  • Inbound results map to the right order and test; unmapped codes are surfaced for review.
  • FHIR R4 and a full API are available for deeper integrations.

11.Inventory & reagents

Track reagents and consumables with lots and expiry. Expired stock is blocked from issue and flagged in alerts so you never run a test on bad reagent.

  • Set reorder points and review low-stock alerts.

12.Billing, invoices & insurance (Add-on)

Generate invoices and receipts, split patient vs payer shares, apply discounts, and manage insurance contracts. Electronic invoicing (ZATCA / ETA) issues tax-valid documents.

  • Invoice totals recalculate correctly when discounts change.
  • The patient portal can require full payment before a report is published.

13.Patient portal & notifications

Patients access approved results securely with their phone number and a receipt code. Notify them automatically by SMS, WhatsApp or email when results are ready.

  • Result links expire after a configurable window for privacy.
  • Branding follows your lab identity and custom domain.

14.Multi-branch sync (Add-on)

Run several branches on one central catalog, pricing and reporting. Each branch shares the same source of truth while keeping its own day-to-day operations.

15.Analytics, TAT & dashboards

Track turnaround time, revenue, test mix, referral sources and operational KPIs. Use the dashboards to spot bottlenecks and grow volume.

  • The Marketing suite (add-on) adds campaigns, mailing lists and field-marketer tracking.
